Renzo Gracie Clarksville Membership Terms

Effective September 1, 2024

RGC Terms and Conditions of Service:

BJJ Membership Plans

RGC Standard:
  • Ages 3 to 7: Unlimited access to Brazilian Jiu-Jitsu AND Judo Programs
  • Ages 8 & up: Unlimited access to any two programs. Some restrictions based on the age of the student. Brazilian Jiu-Jitsu & Judo (3+) Striking (8+), Wrestling (10+), or Fitness (12+) program (age dependent).
  • Class offerings per program subject to change.
RGC Premium:
  • Ages 8 & up: Unlimited access to all programs. Some restrictions based on age.
  • Students are eligible for an assessment every 90 days to discuss their growth, strengths, weaknesses, and to craft a specialized roster to maximize their potential.
  • Class offerings per program subject to change.
Individual Program Memberships:
  • Unlimited access to program specific classes.
  • Classes are age dependent.
  • Class offerings subject to change.
    • Judo: ages 3 & up.
    • Striking: ages 8 & up.
    • Wrestling ages 8 & up.
    • Fitness ages 8 & up.
  • Also available as an add-on to existing RGC BJJ membership plans.
  • BJJ membership only offered as part of the standard or premium membership plans.
Changing Membership Type:
  • You may request an adjustment to your membership type every 30 days. If you request a change in the middle of your billing cycle, the change will take effect on the next billing date.
  • Allowable changes include:
    • Upgrading from individual to standard or premium
    • Downgrading from premium to standard or individual
    • Changing your program offerings under standard membership.

Non-Membership Access

Individual Class Access:
  • Access to individual classes may be purchased in person at time of service. Individual class access purchases are non-refundable.
Class Credit Purchases:
  • Class credits are available for purchase in increments of (5) five. These credits do not expire and will remain on the student’s account until used for class access. Class credits are non-refundable.
Special Programming:
  • Short term programming including as workshops, seminars, camps, etc. are not considered regular memberships.
  • Account holds are not available for special programming.
  • Payments are non-refundable unless otherwise specified.

RGC Service and Renewal Terms

Annual Paid-in-Full:
  • Membership Term: I acknowledge and agree that I will maintain membership and pay the dues specified above for a minimum Term of 12 Months. I agree that I will be liable for dues for the entire 12 Month Term of this agreement in the amounts as stated herein regardless of usage or any change of circumstance. 
  • 1st Tuition Payment: Due at signing, students who choose the annual paid-in-full option will be discounted the equivalent of TWO months of tuition for their specific membership type. Traditional military/LEO/family discounts do not apply.
  • Membership Renewal: After the initial 12-month term has expired, this Agreement shall automatically continue from month to month at the prevailing monthly membership rate, which is subject to change, until I contact RG CLARKSVILLE in writing to cancel or sign a new membership agreement. I must contact RG CLARKSVILLE via email, traditional mail, or in person to request a cancellation form which I must return signed to RG CLARKSVILLE for the cancellation to be processed. I am responsible for all charges billed or incurred prior to cancellation. I further agree that my membership benefits are exclusive to me and are in no way transferable to anyone else.
Standard Payments:
  • Option 1 – Monthly Payments: I understand my monthly tuition payment is dictated by my choice of membership. My membership rate is due at signing and reoccurring monthly tuition payments are due on the same day of each calendar month. I understand my membership rate may change at any time.
  • Option 2 – Bi-Weekly Payments: I understand I have the option of paying tuition bi-weekly. I understand my bi-weekly payment is dictated by my choice of membership. My membership rate is due at signing and reoccurring bi-weekly payments are due every 2 weeks. I understand my membership rate may change at any time.
Membership Renewal:
  • After the initial ONE MONTH Term has expired, this Agreement shall automatically continue from month to month at the prevailing membership rate, which is subject to change, until I contact RG CLARKSVILLE in writing to cancel. I must contact RG CLARKSVILLE via email, traditional mail, or in person to request a cancellation form which I must return signed to RG CLARKSVILLE for the cancellation to be processed. I acknowledge that I am wholly responsible for all charges billed or incurred prior to cancellation. I further agree that my membership benefits are exclusive to me and are in no way transferable to anyone else.
Non-Membership Access and Special Program Payments:
  • Non-membership and special program access payments are required at time of service in the form of individual payment or via pre-purchased class credits. Payments are non-refundable.
  • If a subscription is offered (example, monthly payments for a defined period) payments are due on the 1st of each month and are subject to the terms listed under PAYMENT OF TUITION.
  • Special programs purchased with a paid-in-full option are non-refundable.
  • Agrees to provide the CLIENT competent instruction, supervised by qualified personnel trained in the procedures and traditions of such activities.

Payment of Tuition

  • EFT Authorizations: I authorize Clarksville Brazilian Jiu-Jitsu Academy d.b.a Renzo Gracie Brazilian Jiu-Jitsu Clarksville (hereby referred to as RG CLARKSVILLE), to transfer electronic funds on a recurring basis from the checking, savings, or credit card account I specified above for my membership dues. This authorization is to remain effective until RG CLARKSVILLE has collected for all charges assessed in connection with the terms and conditions of this Agreement.
  • Cash or Check Payments: I hereby agree that if I wish to make cash or check payments each month to RG CLARKSVILLE that I will provide payment on or before each monthly due date. I also agree to provide RG CLARKSVILLE with a valid debit or credit card to keep on file and hereby authorize RG CLARKSVILLE to transfer electronic funds on a recurring basis from the checking, savings, or credit card account I specified above for my membership dues should I fail to make a cash or check payment within (5) days following my due date unless I make other payment arrangements with RG CLARKSVILLE. Returned checks are subject to a $25 fee.
  • Late Fees: I will pay a service charge of $20.00 for any payments 15 days past due. If there are three payments which are 15 days past due during the period of this Agreement, I agree to pay the remaining balance of the Agreement in full, in addition to all recovery charges incurred.
  • Failure to Pay: I hereby agree that if RG CLARKSVILLE, is unable to process my payment from the designated account provided by me, RG CLARKSVILLE is permitted to use any of the other accounts information provided as many times and as often as needed to replace the unpaid payments and service charges. In addition to any rights and remedies it may otherwise have, RG CLARKSVILLE may terminate this Agreement upon ten days’ written notice to me if I fail to comply with my obligations under this Agreement and do not cure any such failure within ten days after receiving notice of such failure. Failure to attend the classes does not relieve me of the obligation to pay the full tuition for the program or phase in which I am currently enrolled.

Contract Holds

Hold Types:
  •  30 Days No Questions Asked: A 30-day no questions asked hold may be requested once per calendar year. Requests must be submitted through this form or in person. Account payments will automatically resume after the 30-day period ends. 
  • Extended Hold with Documentation: Extended holds include medical illness/injury/recovery, military related (school, training, deployment), scheduling conflicts (temporary work schedule change, seasonal sport such as baseball, etc.), or other. Any extended hold requires documentation. This could be a copy of your work schedule, sports schedule, a doctor’s note, etc.
  • Contract holds are not available for special programs.
Terms of Account Hold:
  • Holds requests may be submitted at https://renzogracieclarksville.com/hold-request/ or in person.
  • Holds cannot be indefinite or applied retroactively. If your account is placed on hold you must lift the hold for at least a period of 30 days before requesting another hold or cancellation. A 30 Day No Questions Asked hold may only be placed on your account once per calendar year.
  • Holds requiring a period of later than 30 days require documentation.
  • Account cancellation requests are not available to accounts during their hold period.
  • Hold requests will be processed in 24-48 hours. Requests received during weekends or holidays will not be processed until the next business day.
  • If you have additional questions, please call (931) 241-2159 during normal business hours.
  • In requesting an account hold you agree to the following:
    • Upon a hold being applied to my account that the end date of my contract will be extended by the length of the hold.
    • Unless the request is a one-time 30-day request, documentation is required for approval.
    • Payments will automatically resume after the hold period ends and you are responsible for keeping your payment information up to date. Failure to do so may lead to additional charges and or collections.
    • If a hold extension is needed, an extension request must be received in writing with any necessary documentation PRIOR to the currently scheduled end hold date.

Membership Cancellation:

  • A written 30-day advanced notice is required for all standard membership cancellations:
    • You must give notice of cancellation by a method that will allow you to prove that you gave notice, including registered mail, online formal request at https://renzogracieclarksville.com/account-cancellation/, or personal delivery.
    • If you send the notice of cancellation by registered mail, electronic mail, or facsimile, it doesn’t matter if the seller receives the notice within the required period if you sent it within the required period
    • Cancellation requests should include the full name of the student, phone number, email, and effective date of cancellation. This notice must be received 30 days prior to the next payment date to avoid additional charges. Note: Paid-in-full memberships are non-refundable.
    • Account cancellations are not available to accounts that are currently on hold. If an account is on hold, the hold must first be lifted before an account cancellation request can be processed. These accounts are still subject to 30-day advance notice.
    • Exemptions for 30-day advanced notice include Military PCS/Deployment with valid orders, relocation to area more than 50 miles from current location with proof of relocation, failure to provide documentation will result in an early termination fee charged to the accounts on file.
    • Cancellation requests should include the full name of the student, phone number, email, and effective date of cancellation. This notice must be received 30 days prior to the next payment date to avoid additional charges.
  • Special Programs: There is no advanced notice required for a special program (camp, seminar, homeschool etc.). If a special program is paid-in-full for the full, defined term (semester, 4-week period, etc.) the payment is non-refundable.

RGC Membership Agreement Terms: 

RG Clarksville

Renzo Gracie Clarksville hereby referred to as ‘RG Clarksville,’ agrees as follows:
  • To provide and the Student with competent instruction, supervised by qualified personnel trained in the procedures and traditions of such activities.
  • RG CLARKSVILLE is committed to protecting the privacy of personal of our customers. We make every effort to ensure that the information you share with us is recorded accurately, retained securely and used only according to your wishes. We collect personal details necessary to communicate with you and manage our ongoing business relationship with you. If you have any questions about how your personal information is handled or distributed, or if you wish to receive a full copy of our full privacy policy, please contact our marketing director at marketing@rgclarksville.com
  • In the event an issue arises students should first address the issue with the class instructor. If unable to discuss the issue with the class instructor, the student may ask to speak with the Human Resources director, head of the program department, or the program director. Issues may also be submitted to feedback@rgclarksville.com. All incidents will remain confidential with the appropriate staff member(s) to resolve the incident.

The Student

The undersigned, hereby referred to as “the Student” acknowledges and agrees as follows: 
  • Upon completion and full payment of any phase or program, students wishing to continue with the next phase or program must enter into a new Agreement.
  • RG CLARKSVILLE or any party designated by RG CLARKSVILLE may photograph or film me while I attend the premises of RG CLARKSVILLE and use of any and all such photos, video footage and/or video streaming for promotion, sales, publicity and advertising purposes for all media, including, but not limited to, the internet.
  • The required physical exertion may be strenuous and cause physical injury, and I am fully aware of the risks and hazards involved. I hereby represent that I am physically fit to receive and participate in the prescribed course of instruction. I acknowledge that I have been advised to consult with a physician prior to and regarding my participation in the Classes and that my physician has confirmed to me that I have no medical condition which would affect my full participation in the Classes.
  • In consideration of my being permitted to participate in the Classes, I for myself, my heirs, executors, administrators, successors, assigns and anyone else who may claim on my behalf hereby waive any and all claims, liability and damages I may now or in the future have against RG CLARKSVILLE, its directors, officers, instructors and staff and all persons acting under its authority and their respective heirs, executors, administrators, successors, and assigns, arising by any means whatsoever, including, but not limited to death, injury, damages to or loss to my person or property of any kind whatsoever, no matter how caused arising from or in connection with my participation in the Classes, however caused.
  • I further hereby release, remiss and forever discharge RG CLARKSVILLE, its directors, officers, instructors and staff and all persons acting under its authority and their respective heirs, executors, administrators, successors, and assigns from and against all demands, claims, actions, damages, costs and expenses arising from or with respect to death, injury, damages to or loss to my person or property of any kind whatsoever, no matter how caused, arising from or in connection with my participation in the Classes whether or not caused by, in whole or in part, the negligence or gross negligence of RG CLARKSVILLE.
  • I will hold harmless and indemnify RG CLARKSVILLE, its directors, officers, instructors and staff and all persons acting under its authority and their respective heirs, executors, administrators, successors, and assigns from any and all liability for any damage or injury to the property or persons of any third party resulting from my involvement in or presence during any of the Classes.
  • I will comply with all the rules and regulations of RG CLARKSVILLE as set forth in the Student Handbook available on the RG Student facebook group and in my gymdesk portal.
  • I confirm that the provisions in this Agreement constitute the entire agreement between the parties hereto and supersede all prior communications, proposals, representations and agreements, whether oral or written with respect to the subject matter of this Agreement.
  • I acknowledge receiving a digital copy of this Agreement. Printed copy available on request.
  • I understand my rights and obligations as stated above. I confirm that I am the full age of eighteen years (unless otherwise indicated below) and that I have read and understood this release and waiver of liability and I am aware that by signing this Agreement I am waiving certain legal rights, including the right to claim damages which I or my heirs, executors, administrators, successors or assigns may have against RG CLARKSVILLE.
